ADC Ready is operated by Enjoy Software Pty. Ltd. This Privacy Policy explains how we collect, use, store, disclose, and protect personal information when you use the ADC Ready website, waitlist, and ADC Ready application.

ADC Ready is an independent exam preparation tool. It is not affiliated with, endorsed by, or approved by the Australian Dental Council.

ADC Ready is intended to help dental professionals and ADC candidates practise communication, clinical reasoning, and exam-style roleplay scenarios. It is not a substitute for professional training, clinical supervision, dental advice, medical advice, legal advice, or official ADC guidance.

1. Information we collect

We may collect the following types of personal information:

  • Email address when you join the waitlist, request early access, create an account, or contact us.
  • Login and account details entered by users.
  • Scenario selections, roleplay session metadata, timestamps, duration, usage records, and product interaction data.
  • Voice, audio, video, image, transcript, and roleplay content generated during a practice session.
  • Video recordings or visual session recordings where recording or playback features are enabled.
  • AI-generated transcripts, grading, feedback, scoring, comments, summaries, and performance analysis.
  • Technical information such as browser type, device information, IP address, operating system, server logs, diagnostic logs, and approximate usage data.
  • Communications you send to us, including support, feedback, privacy requests, or complaints.
  • Marketing and waitlist preferences, including whether you have unsubscribed from communications.

2. Sensitive information and real patient data

ADC Ready is for exam preparation only. You must not enter, upload, show, record, or say information about a real patient.

This includes, but is not limited to:

  • patient names;
  • addresses;
  • phone numbers;
  • email addresses;
  • dates of birth;
  • Medicare details;
  • dental records;
  • medical histories;
  • radiographs;
  • photographs;
  • treatment notes;
  • identifying clinical examples; or
  • any other information that could identify a real patient.

Roleplay transcripts, voice recordings, video recordings, and AI feedback may still contain personal information about you or information you choose to provide during a simulated consultation. This may include your voice, face, appearance, communication style, language use, exam preparation progress, clinical reasoning, confidence level, or other details you disclose.

We use this content only to provide, assess, secure, support, and improve the ADC Ready roleplay and grading experience.

If you accidentally include real patient information in ADC Ready, contact us as soon as possible so we can assess whether it should be deleted.

3. Voice, video, audio, transcripts, and recordings

ADC Ready may use voice, audio, video, and transcript-based features to simulate patient interactions and provide post-session feedback.

When you start a roleplay session, ADC Ready may process:

  • your microphone input;
  • your camera input, if video is enabled;
  • audio recordings;
  • video recordings;
  • screenshots or visual session data, if enabled;
  • transcripts generated from your spoken responses;
  • AI-generated patient responses;
  • AI-generated feedback, grading, and performance analysis;
  • session metadata, including duration, scenario type, timestamps, and completion status.

Video recording may be used so that you can play back your session, review your communication style, and assess non-verbal behaviours such as eye contact, posture, facial expression, body language, and professional presentation.

Unless stated otherwise in the product, ADC Ready does not intend to keep raw audio or video recordings longer than reasonably needed to provide session playback, troubleshooting, quality review, security, legal compliance, or user-requested features.

Transcripts, grading records, feedback, session metadata, and selected recordings may be stored so that you can review your practice history and so that we can improve the product.

If we introduce new recording, replay, sharing, or assessment features, we will make this clear in the product.

4. Consent to roleplay processing

By starting a roleplay session, enabling your microphone, enabling your camera, or using a recording feature, you consent to ADC Ready collecting and processing the voice, audio, video, transcript, scenario, session, grading, and feedback information needed to provide the simulated patient interaction, playback, transcription, grading, and feedback features.

You must not include real patient information in a roleplay session.

You may choose not to use camera-based or video playback features where the product provides that option. Some features may not work correctly without microphone or camera access.

5. How we use information

We use personal information to:

  • manage the waitlist and send early-access communications;
  • create and manage user accounts;
  • operate login and access controls;
  • provide roleplay scenarios and simulated patient interactions;
  • provide realtime AI voice roleplay;
  • record, replay, and review practice sessions where recording is enabled;
  • generate transcripts, grading, feedback, and performance analysis;
  • allow users to review their session history;
  • debug, secure, monitor, and improve ADC Ready;
  • investigate technical issues, misuse, or security incidents;
  • understand whether ADC Ready is useful for ADC Part II preparation;
  • improve scenario quality, AI behaviour, assessment quality, and user experience;
  • communicate with you about support, feedback, privacy requests, complaints, or product updates;
  • send marketing communications where permitted;
  • comply with legal obligations; and
  • protect our rights, users, systems, and service providers.

6. AI processing

ADC Ready uses third-party AI services to provide realtime voice roleplay, transcription, analysis, grading, and feedback.

When you start a roleplay, request grading, use playback, or use AI feedback features, relevant information may be sent to AI service providers. This may include:

  • scenario information;
  • simulated patient instructions;
  • your audio;
  • your video or visual session data, where video features are enabled;
  • transcripts;
  • session content;
  • metadata;
  • AI-generated patient responses;
  • grading criteria; and
  • previous session context where needed to provide the feature.

These providers process this information so that ADC Ready can generate simulated patient responses, transcripts, feedback, scoring, and other learning features.

You should treat anything you say or show during a roleplay as information that may be processed by ADC Ready and its service providers for the purpose of delivering the product.

7. AI provider model training

We do not permit our AI service providers to use your roleplay audio, video, transcripts, recordings, or feedback to train their general AI models, unless we clearly tell you otherwise and obtain any consent required by law.

We may use de-identified, aggregated, or anonymised information to improve ADC Ready, including scenario design, grading quality, roleplay realism, user experience, product reliability, and learning outcomes.

8. Disclosure to service providers

We may disclose personal information to service providers that help us run ADC Ready, including:

  • website hosting providers;
  • serverless backend providers;
  • database and infrastructure providers;
  • file storage providers;
  • video, audio, and media-processing providers;
  • email and waitlist providers;
  • authentication and login providers;
  • AI voice, transcription, analysis, and grading providers;
  • analytics providers;
  • monitoring, logging, security, and error-tracking tools;
  • technical support providers; and
  • professional advisers where reasonably necessary.

We disclose only the information reasonably needed for those providers to perform their services.

9. Overseas disclosure and processing

Some of our service providers may process or store personal information outside Australia, including in countries where cloud, infrastructure, analytics, email, media-processing, or AI service providers operate.

Where we disclose personal information to overseas service providers, we take reasonable steps to use reputable providers, apply contractual or technical safeguards where available, and limit the information shared to what is reasonably necessary to provide ADC Ready.

10. Storage and security

We take reasonable steps to protect personal information from misuse, interference, loss, unauthorised access, modification, and disclosure.

These steps may include:

  • access controls;
  • encrypted connections where available;
  • secure cloud infrastructure;
  • environment-based secrets;
  • restricted administrative access;
  • monitoring and logging;
  • backup and recovery processes;
  • limiting access to operational needs;
  • deleting or de-identifying information when it is no longer reasonably needed.

No internet service, AI system, or cloud platform can guarantee absolute security. If we become aware of a data incident requiring notification, we will respond in accordance with applicable legal obligations.

11. Retention

We keep personal information only for as long as reasonably needed for the purposes described in this Privacy Policy.

During the early product phases, we may retain roleplay transcripts, grading records, feedback, session metadata, audio recordings, and video recordings for as long as reasonably needed to:

  • provide session playback;
  • allow users to review past practice;
  • assess product quality;
  • improve grading and feedback;
  • troubleshoot issues;
  • investigate security or misuse;
  • comply with legal obligations;
  • resolve disputes; and
  • evaluate product usefulness.

Waitlist email addresses are kept until you unsubscribe or ask us to remove them.

Roleplay transcripts, grading records, feedback, audio recordings, and video recordings may be deleted or de-identified when they are no longer needed.

You may request deletion of your account-related personal information by contacting us at privacy@adcready.com.au.

In some cases, we may be unable to delete information immediately if we need to keep it for legal, security, backup, dispute-resolution, fraud-prevention, or operational reasons.

12. De-identified and aggregated information

We may use de-identified, anonymised, or aggregated information to improve ADC Ready and understand candidate needs.

This may include:

  • usage patterns;
  • scenario completion rates;
  • common communication issues;
  • common clinical reasoning issues;
  • grading trends;
  • product performance metrics;
  • feature engagement;
  • technical reliability data.

We do not treat de-identified, anonymised, or aggregated information as personal information where it can no longer reasonably identify an individual.

13. Access, correction, and deletion requests

You may ask us to access, correct, or delete personal information we hold about you.

We may need to verify your identity before responding.

To make a request, contact us at privacy@adcready.com.au.

We will respond within a reasonable period.

In some cases, we may be unable to provide access, correction, or deletion where we are legally permitted or required to refuse, or where information must be retained for legal, security, operational, dispute-resolution, or backup reasons.

14. Marketing communications

If you join the waitlist, request early access, create an account, or otherwise express interest in ADC Ready, we may email you about ADC Ready access, product updates, educational content, launch announcements, and related services.

You can unsubscribe from marketing emails using the unsubscribe link in the email or by contacting us.

Unsubscribing from marketing emails does not automatically delete your ADC Ready account, session history, roleplay records, audio recordings, video recordings, transcripts, or grading records.

To request deletion of account-related personal information, contact us at privacy@adcready.com.au.

15. Cookies, local storage, and analytics

ADC Ready may use cookies, local storage, server logs, analytics tools, and similar technologies to:

  • keep the website and application working;
  • manage login and session state;
  • remember preferences;
  • understand usage;
  • improve the product;
  • detect technical issues;
  • monitor security;
  • measure marketing effectiveness.

You can control cookies through your browser settings. Some ADC Ready features may not work correctly if cookies or local storage are disabled.

16. Children

ADC Ready is intended for adult dental professionals and exam candidates. It is not directed to children.

We do not knowingly collect personal information from children.

17. No dental, medical, legal, or professional advice

ADC Ready is an exam preparation and practice tool.

AI-generated patient responses, transcripts, grading, feedback, explanations, performance analysis, and suggested improvements are for educational purposes only.

They are not dental advice, medical advice, legal advice, professional advice, clinical supervision, or official ADC assessment.

You should not rely on ADC Ready as the sole source of truth for clinical practice, patient care, exam preparation, or ADC requirements.

18. Changes to this Privacy Policy

We may update this Privacy Policy as ADC Ready develops.

The updated version will be posted on this page with a new “Last updated” date.

If we make material changes, we may take additional steps to notify users where appropriate.

If you make a privacy complaint, we will review it and aim to respond within a reasonable period.

If you are not satisfied with how we handle a privacy complaint, you may be able to contact the Office of the Australian Information Commissioner.
